VistaCare Communications is a leading technology solutions provider for a wide range of businesses and organizations. We are currently seeking an experienced and motivated Project Coordinator to join our team

The Project Coordinator is involved in all aspects of dealing with construction support for VistaCare Communications.

Reporting to the Operations Manager, the Project Coordinator will be responsible for daily coordination and scheduling of projects and submission of billing for completed site builds. The Project Coordinator will be based out of our Bedford, NS office.

Duties and Responsibilities: 
  • General administrative and office tasks as required
  • Create work order or job in Jonas (add to all tracking docs where applicable) and maintain trackers (verify materials are ready, etc are ready for job)
  • Update schedule
  • Coordinate site access with building owners for work
  • As-builds and O&M billing preparation
  • Ensure timesheets are completed correctly
  • Closeout of work
  • Track and verification of customer PO’s against submitted
  • Collect and compile results
  • Retrieve and post all daily safety logs onto safety platform
  • Equipment/Inventory tracking
  • Assemble shop drawings
Knowledge and Skills: 
  • Exceptional time-management and organizational skills
  • Strong interpersonal skills
  • Excellent customer service skills dealing with customers and building owners over the phone
  • Ability to coordinate effectively with remote field management and technical staff  
  • Self-disciplined, motivated and organized
  • Previous telecommunications experience and Blue print reading an asset
  • Engineering experience considered an asset
Experience Required: 
  • 1-2 years supporting Project Managers in the delivery of construction projects
  • Proficient in MS Office (specifically Excel) and experience with MS Project or other PM software would be an asset
  • Create and maintain comprehensive project documentation, plans and reports
  • Act as the point of contact and communicate project status adequately to all participants
  • Monitor and track project’s progress and handle any issues that arise
  • CAD or Bluebeam experience
Additional Requirements: 
  • Valid driver’s license (preference given to Class 3 and above), reasonable driver abstract
  • Willingness to work overtime, weekends, or on emergency call outs as required
  • Although most work will be done in the HRM, willingness to travel would be beneficial as travel options may arise for future projects
  • The successful candidate will be required to pass a criminal record check
